This Privacy Policy explains how AYP CREATIVES LLC (“AYP Creatives”, “we”, “us”)
collects, uses, stores and shares information when you visit
aypcreatives.com, place an order with us, or contact us through
WhatsApp, email or any other channel we operate.

It also explains, in Section 9, how our internal automation application “AYP Agent”
accesses data from our own Google account, as required by the Google API Services User Data Policy.

We are a printing, design and marketing company. For any question about this policy or about your
personal data, contact us at the email address above.

2. Information we collect

Contact details: name, phone number and email address.
Order information: products, quantities, sizes, design briefs, artwork and files
you send us, shipping address, and order status.
Messages: the content of your conversations with us, including text, images and
voice notes you choose to send through WhatsApp or other channels.
Payment information: orders are paid through our payment processor. We receive
confirmation that the payment succeeded, the amount and the order reference.
We do not receive or store your full card number.
Website data: standard technical information such as IP address, browser type,
device and pages visited, collected by our hosting, security and analytics tools.
Cookies: our website uses cookies that are necessary for it to work (for example
to keep your shopping cart and your session), and may use analytics cookies to understand how the
site is used. You can block or delete cookies in your browser settings; some parts of the store
may stop working correctly if you do.

3. How we use your information

To answer your questions and prepare quotes.
To produce, print and ship your order, and to keep you informed about its status.
To send you your shipment tracking details.
To keep a history of our conversation so we do not ask you for the same information twice.
To process payments and issue invoices.
To comply with our tax, accounting and legal obligations.

4. Automated assistant on WhatsApp and SMS

Our WhatsApp channel is attended by an automated assistant that can answer questions, prepare
quotes, report order status and send payment links. A member of our team can take over the
conversation at any time, and you may ask to speak with a person at any moment.

To generate its replies, the assistant processes the content of your messages using the third-party
artificial intelligence providers listed in Section 6. Voice notes are transcribed into text so they
can be read and answered.

The assistant does not make decisions that produce legal effects about you. Final prices, quotes and
orders are confirmed by our team.

Text messages (SMS)

You can also text us at +1 (754) 225-1454. The same assistant and our team reply by text
message to the messages you send us: answers to your questions, quotes, order confirmations, payment links
for orders you requested, shipping and tracking updates, and occasional promotions about our products. We
only send text messages to people who have texted us first.

No mobile information will be shared with third parties or affiliates for marketing or
promotional purposes. All the above categories exclude text messaging originator opt-in data and consent;
this information will not be shared with any third parties.

Message frequency varies. Message and data rates may apply. Reply STOP at any time to
stop receiving text messages, and HELP for help. Carriers are not liable for delayed or
undelivered messages.

5. Legal basis and consent

We process your information because it is necessary to provide the products and services you ask us
for, to comply with legal obligations, and for our legitimate interest in running and improving our
business. When you write to us on WhatsApp or by text message (SMS), you consent to receive our replies on that number in
relation to your enquiry and your order.

6. Who we share information with

We do not sell your personal information. We share it only with the service
providers we need in order to operate:

Meta Platforms (WhatsApp Business Platform) — delivery of messages.
Our customer-service platform — to receive and manage conversations.
Our database and workflow-automation providers — to store orders and
conversation history and to run our internal processes.
Artificial intelligence providers — to generate the assistant’s replies and to
transcribe voice notes.
Payment processor — to charge your order securely.
Print suppliers and shipping carriers — to produce and deliver your order. They
receive only the data needed for that purpose, such as your shipping address.
Cloud storage — to keep backups of our systems.

We may also disclose information when required by law, a court order, or a lawful request from a
public authority, or to protect our rights.

7. How long we keep it

We keep order and invoicing records for as long as required for tax and accounting purposes.
Conversation history is kept so that we can give you continuity of service across enquiries. You may
ask us to delete your data at any time, as described in Section 8.

8. Your rights

You may ask us to:

Access the personal information we hold about you.
Correct information that is inaccurate or out of date.
Delete your information, where we are not legally required to keep it.
Stop contacting you.

Write to aypcreatives@gmail.com and we will respond
within a reasonable time. We may need to confirm your identity before acting on a request.

To stop receiving WhatsApp or text messages from us, reply STOP at any time. We
record that request and will not contact you on that number again.

9. Google user data and the “AYP Agent” application

We operate an internal automation application called AYP Agent, developed and used
solely by AYP CREATIVES LLC to run our own order-processing workflow. This section describes how that
application accesses, uses, stores and shares Google user data, as required by the
Google API Services User Data Policy.

AYP Agent accesses only our own company Google account. It does not request access
to, and does not connect to, the Google accounts of our customers or of any other person. Customers do
not sign in to AYP Agent.

What Google data it accesses, and why

Gmail — reading messages. The application searches our company inbox for
unread order and shipping notifications sent by our print suppliers, and extracts the supplier
order number, our internal order number, the carrier and the tracking number, so that we can tell
our customers where their package is. It reads only messages matching those supplier senders and
subjects.
Gmail — modifying messages. Once a supplier notification has been processed, the
application marks that message as read, so it is not processed twice. It does not delete email.
Gmail — sending messages. The application sends internal operational alerts to
our own company email address, for example when a customer conversation has not been answered in
time. It does not send email to customers or to third parties from this account.
Google Drive — creating files. The application writes an encrypted backup copy of
our business database into a dedicated folder in our own company Drive. It creates only the files
it uploads and does not read, modify or delete other files in the Drive.

How that data is stored and shared

Data extracted from supplier emails (order number, carrier, tracking number) is stored in our own
business database and is used only to update the status of the corresponding order.
The content of the message is not stored beyond what is needed for that extraction.
When our automatic text-matching cannot identify the order number in a supplier notification, the
text of that supplier notification may be sent to a third-party artificial intelligence provider
for the sole purpose of extracting that order number. This is limited to supplier notifications.
It is not used to develop, improve or train any generalized artificial intelligence or
machine learning model.
Backups written to Drive remain in our own company Drive and are not shared with third parties.
Google user data is never sold, never used for advertising, and never transferred to data brokers
or information resellers.
Only authorized personnel of AYP CREATIVES LLC can access this data, and only to operate, support
or troubleshoot the workflow described above, or where required by law.

Limited Use disclosure

AYP Agent’s use and transfer of information received from Google APIs to any other app will
adhere to the Google API Services User Data Policy, including the Limited Use
requirements.

Revoking access

Access granted to AYP Agent can be revoked at any time from the Google account’s
third-party access
settings. Revoking access stops the application from reading supplier notifications and from
writing backups.

10. Security

Information travels over encrypted connections and is stored in access-controlled systems. Backups
are encrypted. Access to customer conversations is limited to authorized members of our team. No system
is perfectly secure, but we take reasonable technical and organizational measures to protect your data.

11. International transfers

We are based in the United States, and our service providers may process information in the United
States or other countries. By using our services you understand that your information may be processed
outside your country of residence.

12. Children

Our services are not directed to children under 13, and we do not knowingly collect personal
information from them. If you believe a child has provided us with personal information, contact us and
we will delete it.

13. Changes to this policy

We may update this Privacy Policy. When we do, we will change the date shown at the top of this page.
We encourage you to review it periodically.
